From scattered spreadsheets to a structured
analytics-driven recruitment pipeline.
Futwork, a Mumbai-based company providing remote telecalling and contact centre solutions with 15,000+ trained agents across 50+ cities, replaced fragmented Google Sheets and manual tracking with telecrm — achieving 60% improvement in operational efficiency.
Company background
15,000+ trained agents. Managed from scattered spreadsheets.
Founded in 2014, Futwork is a Mumbai-based company that provides remote telecalling and contact centre solutions. They train and deploy remote agents to handle services like lead qualification, customer support, onboarding and payment follow-ups — with 15,000+ trained agents across 50+ cities.
Their recruitment operation had to onboard, evaluate and track thousands of candidates across multiple clients simultaneously. The systems in place weren't built for that volume.

Business challenges
As recruitment volume scaled, structural gaps began impacting speed, accountability and reporting.
- 1
Scattered applicant data
Candidate information was stored across multiple Google Sheets, often separated by client or recruiter. There was no centralised applicant tracking.
- 2
No duplicate control
Google Sheets lacked automatic duplicate identification. The same candidate could be assigned to multiple recruiters, creating overlap, confusion and reporting inaccuracies.
- 3
Limited visibility into recruiter performance
Management had no real-time view of recruiter productivity, follow-up actions or daily activity logs.
- 4
No call or conversation tracking
Recruiters used personal phones. There were no recordings, timestamps or linkage between calls and candidate profiles.
- 5
Follow-ups dependent on memory
Interview scheduling and callbacks relied heavily on manual reminders, increasing the risk of missed opportunities.
- 6
No structured funnel visibility
There was no clear view of stage-wise drop-offs, L1 to L2 movement or recruiter-level conversion trends.
- 7
No analytical reporting framework
Performance reviews were manual and retrospective, limiting proactive improvements.
Solutions & implementation
Futwork implemented telecrm as its central recruitment operations system — bringing structure, transparency and scalability.
Automated applicant addition and assignment
Candidate data synced automatically from monthly Google Sheets. Workflows assigned applicants to specific recruiters based on predefined conditions, reducing manual intervention.
Built-in duplicate prevention
Unique identifiers such as phone numbers were automatically checked. Each candidate was owned by a single recruiter and reassignment required documented justification — ensuring accountability.
Structured recruitment funnel
The entire recruitment lifecycle was structured inside the system — from Fresh under Initial, through Active stages (L1 Connect, Shortlisted L1, Hold, L2 Selected/Rejected, Offer Letter Signed, Orientation, Training, Mock Evaluation, IQC Failed), to Closed stages (Won/Lost with mandatory reason tagging).
Mandatory interview data capture
Instead of maintaining separate evaluation sheets, recruiters captured structured responses directly inside Salesform, standardising screening and ensuring completeness.
Real-time reporting
Visual reports enabled management to track L1 shortlisted candidates by client and recruiter, monitor L2 selections by team, filter by stage or recruiter instantly, and identify drop-off patterns using mandatory lost-reason tagging.
Results
Recruitment operations became structured and measurable, with the entire candidate lifecycle clearly mapped. This eliminated ambiguity in candidate movement and ensured disciplined progression across every hiring stage.
Duplicate candidate entries were removed and clear recruiter ownership improved accountability. Lost-reason tagging helped management identify drop-off patterns and refine their screening strategy.
Real-time dashboards now provide instant visibility into recruiter performance, client activity and the overall health of the hiring funnel. Operational efficiency improved by nearly 60%, transforming recruitment from reactive spreadsheet management into a structured, analytics-driven process.
telecrm has completely transformed the way we work. It has centralised our entire process, making everything more organised and structured. Now, I can access any data instantly without worrying about missing anything.
Conclusion
Structure drives performance — in high-volume recruitment.
For Futwork, the challenge was not candidate sourcing — it was structured pipeline management at scale. By implementing telecrm, recruitment operations moved from spreadsheet-based coordination to a unified, data-driven system with complete visibility.
The result is stronger accountability, cleaner data, faster decisions and measurable efficiency gains. In high-volume recruitment environments, structure drives performance — and telecrm delivered that structure.
