What an untracked pipeline costs

You know deals are stalling.
You don't know where — or why.

Without stage tracking, a CRM is a list of leads with statuses. Here is what that means day to day.

01
All Leads · 400 total No stages configured
Rahul Mehta Fresh Lead
Priya Kapoor Fresh Lead
Arjun Sharma Fresh Lead
Meera Singh Fresh Lead
Every lead looks the same — nothing tells you which ones matter.
No stage visibility

400 leads in the CRM, all showing as "Fresh." No way to tell which are active, which are close and which have gone cold.

Without stages, the CRM shows all leads at "Fresh" — there is no way to distinguish what is active, close or gone cold.

→ Custom stages give every lead a clear position in your pipeline.

Every post-mortem is based on what reps remember.
No lost reason data

You lost 34 deals this quarter. You have no data on why. "Price" is a guess. "Timing" is a guess. Everything is a guess.

Without structured lost reason tracking, every post-mortem is based on what reps remember — not what the data shows.

→ telecrm tracks lost reasons by rep, stage and source.

Hidden bottleneck

74 deals are at Proposal stage. Only 48 moved to Negotiation. 35% stalled there — and you don't know which ones or why.

Stage analytics show exactly where the drop-off happens. Once you can see it, you can fix it.

→ telecrm shows conversion at each stage — so you know exactly where to intervene.

Two reps, same lead volume. One wins 24 deals. The other wins 11 and loses 19. You find out at the monthly review.

Pipeline analytics by assignee show which rep is closing, which is stalling and which needs a different set of leads.

Status. Lost reasons. Call coverage.
All in one analytics view.

What pipeline tracking gives you

Four views that show
exactly where deals are going.

From how you define your stages to which rep loses the most deals at proposal — everything tracked, measured and visible.

Build the pipeline *that matches how you actually sell.*

Create stages with custom names, colours and order. A real estate developer needs different stages than an insurance team. telecrm doesn't prescribe a process — it tracks yours. Reps move leads through stages as deals progress, and the analytics update immediately.

Stages built around your process — conversion data built in.

The Call Status report splits your entire lead list into three groups: Connected (call over 60 seconds), Attempted (call under 60 seconds) and Untouched. See exactly what percentage of your pipeline is actually being worked — and which leads have never been reached.

Untouched leads are pipeline leakage. This report makes them visible.

When a rep marks a lead as Lost, telecrm requires them to select a reason. Those reasons are tracked, counted and broken down in the Lost Reasons report — by rep, by stage and by lead source. When the data is consistent, the patterns are clear.

Fix the right problem. Not the one you assumed was the problem.

Filter the full analytics view by assignee to see each rep's pipeline stage distribution — how many they've won, how many they've lost and where their deals typically stall. Identify who closes well, who loses at negotiation and who needs a different type of lead.

The management shift

When you know where deals stall,
you know what to fix.

“We had no idea that 40% of our deals were stalling at the proposal stage until we set up stage tracking in telecrm. Within two weeks of having that data, we restructured how our reps present proposals. Conversion from proposal to close went from 22% to 38% in one quarter.”

FAQ

Questions we always get.

How many custom pipeline stages can I create?

telecrm supports unlimited custom stages. You can create, rename, reorder and colour-code them to match your exact sales process. Each stage can have its own colour and position, and reps move leads between stages manually as deals progress. The analytics update each time a rep moves a stage.

Can I track lost reasons at the rep level, not just overall?

Yes. The Lost Reasons report can be filtered by assignee, date range and lead source. You can see which rep is losing most deals to price, which is losing to competitor and which stage they typically lose at. This makes it possible to identify whether a loss pattern is a rep training issue or a product/pricing issue.

Does the pipeline update automatically or do reps have to log stage changes manually?

Reps update the stage manually when they move a deal forward — it's a single field change on the lead profile. You can also set up automation rules that change the stage based on specific events — for example, automatically moving a lead to "Demo Scheduled" when a meeting is booked, or to "Lost" after a set number of unsuccessful contact attempts.

Can I export pipeline reports for presentations or external reviews?

Yes. Every report in telecrm can be exported as a CSV file or downloaded as a chart image. The CSV export includes lead-level data — stage, assignee, date moved, lost reason — so you can do further analysis in Excel or build custom dashboards in BI tools like Metabase.

Can different teams have different pipeline stages?

Pipeline stages in telecrm are configured at the workspace level — one set of stages applies across the account. If you need different stage logic for different teams or products, this can be handled using lists, labels and custom fields to segment the pipeline view. Teams using distinct sales processes may benefit from separate workspaces.
